Vet-Med Operations Manager - Greater Seattle Area

Salary: $85000 - $100000 Per Year

Position Summary

This position is responsible for providing inspired leadership and direction while overseeing the implementation of operational initiatives in the hospitals. Develop, coach, and support the Practice Managers to co-lead hospital teams with the Principal Doctor. An aligned approach to support a high level of medical quality and service to pets and clients, through maximizing efficiency, productivity and profitability. Will work collaboratively with the internal leadership and functional teams to ensure targeted acquisition and integration activities are completed on time for the doctors and practice teams.

Position Responsibilities

Process Management

  • Regularly evaluate the progress, impact, and budget outlined for each hospital, and partner with departmental leaders to develop action plans, effectively manage outcomes, rethink approaches, when necessary, remove barriers, and maximize results

  • Plans, coordinates, facilitates, communicates, and executes integration of newly affiliated practices

  • Continuously evaluates and measures the practice plan while offering process improvement solutions

Customer Service/ Relationship Building

  • Provides the highest level of customer service to internal and external customers

  • Identify needs and align resources to help integrate the practice into the larger organization

  • Facilitates the partnership with the key decision makers when role assignment and recruitment is required during the onboarding process

  • On-boards and partners with the Practice Managers on professional, efficient and exceptional client service to include the wellness program, the current practice management software, marketing resources and overall operational tools

  • Medical Operational partner on practice initiatives

Accountable to

  • P&L responsibility for the market

  • Drive KPI performance through influence, data, best practices and follow-up

  • Support and manage the rollout of WellHaven Initiatives and systems

  • Practice Manager communication/mentoring/coaching

  • Partner with the VP of Medical Operations to drive medical enhancements

  • Support the hospital while involving the key functional areas within the Support Center

Technical Skills and Training

  • Serves as a facilitator and coach for the use of organizational systems, tools, and resources including but not limited to practice management software, wellness plan program and performance management

Other Duties as Assigned

  • Support additional practice management training initiatives

  • Other meetings and duties as assigned

Education and/or Work Experience Requirements

Required

  • Five (5) or more years of demonstrated relevant experience in veterinary medicine multi-site operations role.

  • Associate or bachelor’s degree

Preferred

  • 2+ years of leadership experience (i.e. supervising/managing employees)

  • 2+ years of project management experience (in a work environment)

  • Relevant experience in the pet health industry or health care industries a plus!

  • Familiar with the vet space in the surrounding Seattle market

Knowledge and Skills

  • Communicate effectively in visual, oral and written forms including strong presentation and facilitation skills

  • Demonstrated strong problem-solving skills

  • Demonstrated strong analytical skills

  • Technical competence with Office 365 software

  • Excel – intermediate user

  • Office 365 – intermediate user

Preferred

  • Demonstrated skills leading teams

  • Demonstrated skills managing projects with competing deadlines

  • Experience working with veterinary practice management software systems

  • Comfortable trouble shooting basic computer hardware and system issues a plus!

Location and Travel Requirements

  • Incumbent must reside in greater Seattle market

  • Must have high speed internet and good cellphone reception at home office location

  • Ability to travel by air or car (overnight) approximately 75% of the time

  • Travel required to all hospitals within the WellHaven family

  • New acquisitions may be in different states

  • Must maintain a current drivers’ license and minimum state required auto insurance coverage

  • Circumstances may require work schedule flexibility to accommodate variations in work demands, on occasion, this may include working weekends

Physical Requirements and Working Conditions

  • Work is performed in a standard office environment or from a home office

  • Mainly the use of a computer and phone up to ten (10) hours per day

  • Travel conditions

  • Commuting through airports by foot

  • Carrying luggage

  • Sitting at an airport between flights/connections/etc.

  • Sitting on a plane while inflight for several hours
